1. Delete all stored guild content
A Discord server owner or authorised administrator can use the dashboard:
- Sign in to Officer Scribe and open the relevant server.
- Open Server settings.
- Expand Recording safety and data controls.
- In the danger zone, type the displayed confirmation phrase.
- Select Permanently delete guild data.
This removes meetings, transcripts, minutes, schedules, attendance responses, actions, notifications, analytics totals, audit entries and guild settings from the active database. The bot remains installed and may create a fresh workspace when used again.
2. What happens when the bot is removed
Removing Officer Scribe from Discord stops new recordings, reminders and commands but does not immediately erase the workspace. The disconnected workspace is normally retained for up to three months so an administrator can reconnect the bot or request an export. It is then scheduled for deletion automatically.
To request deletion before the three-month point, email ambcollins123@gmail.com from an account reasonably connected to the server administrator and provide the Discord guild ID and guild name.
3. Requests from meeting participants
The relevant guild normally controls meeting content. Contact a guild administrator first where practical because they can review the context, correct minutes and delete records from their workspace. You may also contact Officer Scribe directly.
Include:
- your Discord user ID and current username;
- the guild name or guild ID;
- the meeting date, title or approximate time;
- the information you want accessed, corrected or deleted; and
- why you believe the request relates to you.
Do not send passwords, authentication tokens, identity documents or unrelated sensitive information. We may ask for proportionate verification before disclosing or deleting data.
4. Limits and exceptions
A deletion request may be limited where retention is required by law, necessary to establish or defend legal claims, needed to protect another person's rights, or where the requester cannot be verified. A transcript may contain information about several people, so the guild controller may need to redact or restrict a record rather than delete the whole meeting.
Deleted information may remain temporarily in isolated provider backups and security systems until their normal expiry. It is not available for ordinary Officer Scribe use during that period.
5. Contact for deletion and privacy requests
Email ambcollins123@gmail.com with the subject Officer Scribe data request. Requests are handled within the timeframe required by applicable data protection law. A correspondence address is available upon legitimate request.
